Project Assistant - Coordinator / Business Development Associate

We are seeking a Project Assistant - Coordinator / Business Development Associate (CMT Project Assistant 1) to join our Iselin, NJ team! Come join us!

Job responsibilities include but are not limited to:

  • Primary responsibility is Selling; to network and develop solid relationships in the A/E/C industry and to establish the name of Atlas in the forefront of the minds of potential clients.
  • Leverages existing engagements to spawn new business in on-going profitable revenue growth for Atlas.
  • Build, monitors and orchestrates sales pipeline activities to advance, invest in or divest opportunities.
  • Plans, manages, and supervises proposal efforts in concert with the operations team.
  • Make cold calls as necessary or assigned, and report on progress as required.
  • Working understanding of institutional sales processes: Go/No Go, Capture Planning, After Action.
  • Reviews Identify new market opportunities and forge strategic partnerships to expand the company's client base.
  • Conduct market analysis and competitor research to increase in market share.
  • Maintain relationships with key clients, ensuring high customer satisfaction and repeat business.
  • Utilize CRM tools to track leads, manage sales pipelines, and measure the effectiveness of marketing campaigns, optimizing lead conversion and sales closure rates.
  • Participate in industry events, conferences, and networking forums.
  • Proposal development collaboration includes collaboration with marketing, project managers and operations to gather and organize project documents, set up proposal folders, data entry, and update the team on new information or addenda.
  • Develop Pricing for new proposed project utilizing the PEPT tool and all requirements for such. If proposed project is to be presented to Executive Leadership, responsible for development of presentation, coordination with the PM and assistant PM on the development, assist with the presentation, etc.
  • Work with Atlas contract management group and assign Attorney on all contracts being developed for new projects.
  • Work closely and as a Team with other Project coordinators with this primary responsibility.
  • Assisting with time sheet reviews and expense report reviews utilizing all available tools to ensure accurate reporting. Tools may include review of Deltek, history travel log, talking to the field supervisor or employee, review of actual expenses, etc.
  • Assist with any employee disciplinary actions and the coordination with HR.
  • Maintain certification database for those reporting to unit of all current certifications and notify the Assistant PM and field supervisor when certifications may be lapping.
  • Assist with project management as requested by the Project Manager and Assistant Project manager.
  • Handle all Permit information for PM and Assistant PM to provide to contractor/owner/others with all appropriate Technical Report (TR) data.
  • Provide appropriate information for the permit applications (DOB filing applications).
  • Provide weekly update updates of project information related to the permit, ie, matrices of special inspections and inspection.
  • Provide written concurrence all work has been completed per code, contracts, and all supporting inspection documentation to complete TR.
  • Assist with project management as requested by the Project Manager and Assistant Project manager. List duties are tasks critical to success

Minimum requirements:

  • Experience with private market, public market experience a plus.
  • Minimum 2 years of experience in sales, business development, marketing.
  • Bachelors Degree - Marketing or Business or Construction preferred.
  • Proven expertise and prior experience with clients - business development functions.
  • Motivated self-starter with good follow through during the entire sales cycle.
  • Excellent organizational and overall communication skills.
  • Ability to plan, organize, and execute multiple tasks; possesses well defined time management skills.
  • Team player with the ability to work with the internal partners and service groups within the firm.

Technical requirements:

  • PROJECT ASSISTANT: TECHNICAL REQUIREMENTS CERTIFICATIONS / EDUCATION / EXPERIENCE
    • Bachelor’s in Marketing, Business, Construction, Engineering, or related field.
    • 2+ years in sales, business development, or marketing; A/E/C preferred
    • Nice to have: APMP Foundation
  • ADMINISTRATIVE / WRITING
    • Clear business and proposal writing; concise client emails.
    • Maintain CRM pipeline and trackers; meeting notes and follow-ups.
    • Timesheet and expense spot checks; certification expiration tracking.
    • Organize proposal folders, addenda logs, and version control
  • SOFTWARE / TOOLS - CRM: Deltek CRM, Microsoft Dynamics.
    • ERP/Accounting: Deltek Vantagepoint.
    • Office: Microsoft Office / Microsoft 365.
    • PDF/Markup: Adobe Acrobat (alt: Bluebeam).
    • Collaboration: SharePoint or OneDrive (alt: Smartsheet, Box).
    • Pricing: PEPT (alt: structured Excel).
    • Permitting: NYC DOB NOW, NJ DCA portals.
    • Project platforms: Procore or e-Builder; Expenses: Deltek Expense
  • INDUSTRY / REGULATIONS
    • A/E/C market familiarity required; public sector a plus.
    • RFQ/RFP process, Go/No-Go, capture planning, after-action reviews.
    • Basic NYC DOB permitting and TR forms (TR1, TR2, TR3, TR5, TR8).
    • Contract basics and coordination with legal

Compensation:

$52000 - $62000 annual salary.

The expected salary range for the position is displayed in accordance with the state’s law. Final agreed upon compensation is based upon individual qualifications and experience.
